Accounts Payable Administrator

Location: Tewkesbury, Gloucestershire  
Hours: Full Time (37.5 hours per week, 08:30 start)
Salary: £26,000 – £28,000 per annum

Job Description

Are you organised, methodical and confident working with numbers? Our client, a leading independent business, is seeking an Accounts Payable Administrator to join their Finance Department. This is an excellent opportunity for someone with purchase ledger or accounts experience to advance their career within a friendly, supportive team.

Job Responsibilities

  • Set up and maintain all supplier accounts within the purchase ledger, ensuring compliance and accuracy.
  • Match invoices against purchase orders and delivery notes, checking all details for accuracy, VAT compliance, and appropriate authorisation.
  • Manage invoices through the internal approval system, ensuring their timely processing into the accounting software.
  • Handle supplier inquiries professionally and promptly via telephone and email correspondence.
  • Monitor and resolve issues related to unauthorized or held invoices by liaising with relevant department managers.
  • Reconcile supplier statements and the aged creditors list, actively following up on any debit balances.
  • Process weekly BACS payments, manage cashbook entries, and handle petty cash transactions.
  • Maintain accurate electronic and physical filing and scanning of all invoices.
  • Produce monthly statutory reporting and maintain accurate supplier records.
  • Proactively seek and implement process improvements within the Accounts Payable function.

Key Skills

  • Proven background in an account payable, accounts office, or purchase ledger role.
  • Strong organisational skills, high attention to detail, and professional communication abilities.
  • A proactive problem-solver capable of managing multiple priorities and consistently meeting deadlines.
  • A positive, flexible team player.
  • Proficient in common office software, including Excel, Word, and Outlook.
  • Experience using Sage or similar accounting software is highly desirable.
