Receptionist/Administration Assistant 
Reports to: Office Manager 
Main Aim: To provide full reception cover for the Cirencester Office. To provide accurate and high quality day to day administrative support for the office team, working as part of a team and independently as appropriate. 
Working Hours: Mon-Fri, 09:00-17:30 (with one hour for lunch) (37.5hr/wk) 
Areas of Responsibilities: 
 Reception duties including primary responsibility for meeting and greeting visitors, answering telephones, call forwarding and messaging, post duties; 
 General office administration, including typing, filing, audio typing, printing, binding and ordering office supplies (stationery, general office consumables); 
 Distributing consumable office/kitchen items;
 Maintenance of data/records regarding the office and projects as appropriate;
 Minute-taking as necessary for internal meetings;
 Assist with the Administration team’s daily workload when requested; 
 Assist other team members as necessary; 
 Any other duties as required to ensure continuity and quality of admin service provision; 
 Any other duties that may be required from time to time to ensure the effective running of the Cirencester office; 
 Attend  team meetings, including quarterly Whole Team Meetings held in Cirencester, as appropriate; 
 Follow and adhere to the company policies and procedures. 
 Provide friendly and professional reception cover for the Cirencester office; 
 Contribute to the delivery and completion of the Admin team’s workload when requested
 Strive to provide a high quality of service to both internal and external clients. 
Key Skills must include: 
 Confidence with Microsoft Office Suite; 
 Ability to work to deadlines and under pressure; 
 To deliver a high-quality product following the company policies and procedures; 
 Ability to exercise initiative;  
 Good communication, by phone, e-mail and in person; 
 Attention to detail. 
Essential Requirements:

-GCSE/O Levels at grade C or above in English and& Maths (or equivalent)
-Microsoft Office: Word, Excel, Outlook 
-Touch Type experience
-Handling External/Internal Telephone calls (filtering)
-Handling Post (internal/external)
-Logical thinking
-Solution Oriented 
-Commercially Minded 
-Strive for Excellence   
-Organised/Time Management  
-Ability to work unsupervised

 Having a UK driving license and access to own car with business use insurance is desirable. This job description is reviewed on an annual basis in conjunction with the job holder.
